Concerns Should Be Raised, Not Left Unspoken
Construction projects involve many decisions, people, materials, documents and stages. Questions or concerns can sometimes arise, and when they do, there should be a clear way to raise and review them.
IU Construction encourages clients to communicate genuine concerns through an appropriate project or company communication channel. Where relevant, the issue can then be considered against the available facts, agreed project scope and supporting project documentation.
Listen
Understand the nature of the client’s concern before reaching conclusions about what happened or what response may be appropriate.
Document
Record the relevant facts, project information and available supporting documentation so the concern can be reviewed clearly.
Review
Examine the concern with the appropriate project, site or technical personnel where their input is relevant.
Respond
Communicate findings, request further information, explain next steps or discuss a proposed resolution where appropriate.
How To Lodge A Complaint
Clients should raise concerns as clearly as possible and provide enough project information for IU Construction to identify the relevant work, communication or documentation and understand the issue being raised.

What To Include With Your Complaint
Clear, relevant information can make a construction complaint easier to understand and investigate. Clients should provide the information reasonably needed to identify the project and explain the concern.
How A Complaint May Be Reviewed
The appropriate review process depends on what the concern relates to and how complex it is. A straightforward communication issue may require a different level of review from a technical concern involving construction work, drawings, materials or site conditions.
Complaint Received
The concern is received through an appropriate company or project communication channel.
Information Reviewed
Relevant project information and supporting material are considered to understand the concern.
Project / Technical Review
Relevant project, site, engineering, MEP, procurement or other technical functions may be consulted where necessary.
Internal Escalation
Where further review is appropriate, the matter may be escalated internally to the relevant responsible level.
Response / Next Steps
The client may be informed of findings, additional information required, proposed next steps or another appropriate response.
When Is A Concern Escalated?
An additional level of internal review may be appropriate depending on the circumstances, including where:
- The issue remains unresolved after initial review
- A technical assessment is required
- Contract or scope interpretation requires further review
- The concern involves multiple areas of work
- Additional management review is appropriate
- The client disputes the initial response
Escalation provides an additional level of review. It does not automatically mean that the original assessment or proposed outcome will change.
What To Expect After Raising A Complaint
IU Construction aims to acknowledge and review concerns as promptly as reasonably possible, taking into account the nature, urgency and complexity of the matter.
The target period for confirming that the complaint or concern has been received.
Construction-related complaints can vary significantly in complexity. Some matters may be reviewed relatively quickly, while others may require a site inspection, review of photographs or videos, drawings, BOQ items, material verification, technical input, variation records, payment or project documentation, or discussion with relevant project personnel, suppliers or subcontractors where applicable.
Where a final response cannot reasonably be provided within the company’s normal target period, the client should be kept informed about the status of the review where practical rather than leaving the concern unanswered.
From Review To Closure
The appropriate response to a construction concern depends on the facts, relevant project documentation, applicable signed agreement, agreed scope and technical circumstances.
Depending on the nature of the matter, a response may involve one or more of the following:
A complaint does not automatically result in compensation, replacement, refund, free corrective work or another particular outcome. Any response should reflect the relevant circumstances and applicable project terms.

Where a complaint relates to contractual rights, obligations or dispute-resolution procedures, the applicable signed agreement and applicable law will govern.
